Buildium vs AppFolio
Honest Buildium vs AppFolio comparison for HOAs — rental platforms with association modules, for professional managers and larger self-managed associations. Published starting prices and minimums, who should pick which, and where a small volunteer board should look instead. No invented ratings.
This comparison is for people whose job is community management, or for a larger self-managed association that is actually going to staff the books. Buildium and AppFolio are both rental-property platforms with an association module. They are the same aisle. They are not volunteer-board dues apps.
Affiliate links, when we have them, are disclosed in the header. Until a program URL is live, the buttons below go to the official sites — same placeholder pattern as the rest of PickHOA. We do not invent star ratings, review counts, or deals.
Figures below were read from each vendor’s own pages on 5 October 2026. If a page and a quote disagree, the quote you sign is the price. We did not sit through a demo.
Who each product is for
Buildium is association accounting, portals, violations, architectural requests, and operations for professional managers — including shops that also manage rentals. Audience in our directory: professional CAMs. Typical unit fit we record: 50–10,000 units. Accounting depth we record: fund accounting. The association product page also markets an Essential package at “small management companies or self-managed associations,” so a larger self-managed community will get a demo. A Saturday treasurer usually should not.
AppFolio is the other rental-plus-HOA stack: multiple-fund accounting, payments, violations, architectural requests, and mobile field work inside a property-management product. Audience: professional CAMs. Typical unit fit we record: 50–20,000 units. Accounting depth we record: fund accounting. The HOA page is written to association management companies, not to a board that meets once a month.
These unit bands are directory fit, not a license limit we have tested. AppFolio’s own HOA page adds a hard floor of its own, below.
A 40-unit self-managed HOA that “upgrades” into either name usually buys a sales process and a minimum. A management company that needs one system for apartments and associations is the buyer both vendors are writing to.
Fees — what the vendor pages actually say
We will not paste a roundup’s “Buildium is $X per door, AppFolio’s minimum is $Y.” Those posts disagree with each other, and several disagree with the vendor pages we opened.
Buildium, checked 5 October 2026.
- Pricing lists Essential starting at $62/month, Growth starting at $192/month, and Premium starting at $400/month. “Starting at” is a floor, not a quote for your door count.
- The same page’s FAQ says that if you want pricing for community associations (or you have more than 5,000 units), call 877-396-7876. Association pricing is therefore still a quote, even though general packages are published.
- The association page repeats those three starting prices. It markets Essential for “small management companies or self-managed associations,” and the page disagrees with itself on the cap: one block says 40 units and under, another says 150 units and under. We will not pick a winner. Premium is labeled “preferred pricing for association managers,” with no separate dollar discount printed.
- Payment processing (ePay) is extra. The association page and the general pricing page do not publish the same per-transaction schedule. Do not budget ACH or cards from one screenshot. Get the association ePay schedule in the quote.
- Our listing describes the model as per-unit with a notable monthly minimum. The public pages we checked show starting-at monthly packages, not a per-door software rate for the base plan. We are not going to invent a per-unit Buildium software price to reconcile that.
AppFolio, checked 5 October 2026.
- The pricing page publishes a schema.org offer: “AppFolio Performance Platform for Community Associations” at $0.85 per unit per month, described as the out-of-the-box platform. That dollar rate is in the page’s structured data. The visible plan cards we could read say Get a Quote and do not print $0.85 next to the button. Treat $0.85 as the published offer, and confirm it still applies to your portfolio.
- The HOA page quote module says “Minimum spend and 50 unit minimum apply. Contact us for details.” The dollar amount of that minimum spend is not published. Per-unit math at 50 doors is not a quote.
- We did not find a public HOA processing rate card (the page mentions eCheck, debit, and card). Payment processing is extra. Confirm it on the quote.
- Residential per-unit prices on the same pricing schema are a different product line. Do not use them as the association rate.
What that means in practice:
- Buildium lets you see a package floor before the call, then tells association buyers to call anyway.
- AppFolio lets you see a per-unit association offer and a 50-unit minimum, then hides the minimum-spend dollar amount behind the quote.
- Processing can dominate either bill. Model it at your assessment volume after you have the vendor’s schedule, not a blog’s.
Unit-count fit
| Situation | Usually Buildium | Usually AppFolio | Neither / look elsewhere |
|---|---|---|---|
| Under ~50 units, volunteer treasurer | Rarely — association price is a call, and the product assumes staff | No — 50-unit minimum plus an unpublished minimum spend | Small-board shortlist |
| Small management shop, or a larger self-managed association with someone closing the books | Shortlist — Essential is explicitly marketed here, then get the association quote | Only if you clear 50 units and the minimum spend | CINC if you want HOA-native software, not a rental PMS |
| Management company, rentals and HOAs in one shop | Yes — that is a stated fit | Yes — that is the product | Vantaca or Enumerate if you want a CAM operating system without the rental suite |
| You need a number before a sales call | Starting-at packages are public; the association number is not | $0.85/unit is public; the minimum spend is not | A volunteer tool with a published tier |
Accounting and the rest of the job
Both products are in our directory as fund accounting, not dues-only collectors. That overlap is why the search exists. It is not a score.
Buildium’s association page talks about association accounting and reporting, ePay, violations, architectural requests, board payables approvals, resident and board portals, and unlimited users with customizable roles. Marketplace add-ons (resale documents, lead networks, bank connections) are part of the pitch. Our listing’s cons still apply: staff-weight UI, and ownership inside a larger PropTech stack (RealPage) — evaluate lock-in and add-on cost in the contract. We did not price the marketplace.
AppFolio’s HOA page talks about one platform for the portfolio, accounting and reporting for boards, online assessment payments, architectural requests, common-area maintenance, amenity reservations, mobile violation notes from the field, and a homeowner portal. Implementation assumes a professional team. Our listing’s cons match the page: you will not get a volunteer-board Saturday setup.
We have not lab-tested either general ledger. Ask both for operating vs. reserve, a bank rec, and a board package. If the answer is a slide about “easy reporting,” keep asking. HOA accounting software is the wider shortlist, including HOA-native names (CINC, Enumerate, Vantaca) if you do not want a rental PMS with an association module.
Who should pick which
Pick Buildium when:
- You want a public starting price ($62 / $192 / $400 per month on the pages above) as the opening number, and you will still get the association quote in writing.
- The shop is small enough that Buildium’s own “small management companies or self-managed associations” line describes you — and someone on staff will actually close the month.
- You want rentals and associations together, and you are willing to diligence RealPage lock-in and marketplace add-ons.
Pick AppFolio when:
- You are an established management company, you clear 50 units, and you can live with a minimum spend the site does not print.
- The published $0.85 per unit per month community-association offer is the pricing shape you want to negotiate, not a flat package floor.
- Field staff and a mobile violation workflow are part of the job, not a nice-to-have.
Pick neither when a rotating volunteer is the operator, the association is small, or the painful job is “collect dues and show a balance.” That is a different aisle.
If you are a small HOA
Stop here and change pages. PayHOA vs Buildium is the comparison Google shows volunteer boards. Buildium alternatives and AppFolio alternatives split volunteer-board tools from CAM peers — use the page that matches the name you are leaving. PayHOA alternatives and HOA software for small self-managed boards are the volunteer starting points. Do not use this page as that shortlist.
How to decide in one meeting
- Who closes the month — an employee, or a volunteer?
- Do you manage rentals in the same system, or associations only? If associations only, put CINC, Enumerate, or Vantaca on the same agenda.
- Can you accept the fee shape: Buildium’s starting-at package plus a call, or AppFolio’s $0.85/unit plus a 50-unit minimum and an unpublished minimum spend? Include processing.
- Open the two listings and read pros and cons. Then make them show operating vs. reserve on a screen, not a slide.
Verdict
Choose Buildium if you want to start from a published monthly package floor and a product page that also talks to smaller management shops — then confirm the association quote, because Buildium’s pricing FAQ still sends community-association pricing to the phone. Choose AppFolio if you are a management company that can clear a 50-unit minimum plus an unpublished minimum spend, and you want the rental-plus-association platform whose pricing page publishes a community-association per-unit offer. If a volunteer treasurer is the operator, pick neither.
