PayHOA vs Stewardly
Honest PayHOA vs Stewardly comparison for volunteer HOA boards — dues-and-portal with size-band monthly fees versus published flat tiers (Starter $49, Growth $129, Pro $299) and treasurer-desk books. No invented ratings.
This comparison exists because volunteer boards keep pairing the familiar dues-and-portal name with a newer AI-native ops suite — and because Stewardly publishes its own vendor comparison aimed at PayHOA. PayHOA is built around assessments, ACH, reminders, optional paper mail, and a simple owner portal. Stewardly sells online dues and autopay, a homeowner portal, meetings and minutes, documents, packages, parking, ARC and violations, plus AI help on documents, minutes, and books, with published flat per-community tiers and no per-unit software fee.
Do not confuse Stewardly with Steward HOA (stewardhoa.co) or other similarly named products. From our listing, Stewardly is an early-stage company onboarding first communities. No clear independent G2/Capterra-style review profile, and no clear r/HOA customer thread under this brand, turned up in the September 21, 2026 research pass. That is a diligence fact. It is not a star rating we invented.
Neither is Buildium. If someone is pushing a professional association platform, stop and read PayHOA vs Buildium first. That is a different buyer. Other volunteer pairings: PayHOA vs KindHOA (broader workspace, free/flat monthly software), KindHOA vs Stewardly (that workspace against these flat tiers), PayHOA vs RunHOA (one published annual fee), and PayHOA vs AffordableHOA (unit-band monthly ops with a reserve planner).
Affiliate links, when we have them, are disclosed in the header. Until a program URL is live, listing buttons go to the official site. We do not invent star ratings. Dollar amounts below are only what our listings already record from the vendors’ public pricing notes — verify live.
Who each product is for
PayHOA is for the treasurer whose painful job is assessments. Recurring charges, ACH and card, reminders, optional paper mail, documents in a portal. Audience in our directory: self-managed boards. Typical unit fit we record: 1–250 units, with the sweet spot for volunteer use closer to under ~100. Accounting depth we record: dues-only.
Stewardly is for a self-managed SFH, condo, or townhome board that wants published flat pricing, AI help on repetitive document, minutes, and books work, and one workspace from dues through delinquency. Audience: self-managed boards. Typical unit fit we record: 1–1,000 units, with the listing calling out a roughly 20–300 unit sweet spot where Starter or Growth land. Pricing model: flat-tier. Accounting depth we record: mixed — treasurer-desk financials, not CAM-grade fund accounting.
A 40-unit board that only needs owners to pay and see a balance usually does not need Stewardly’s ARC queue, AI action budget, or board-packet drafts. A board whose crisis is minutes, governing-document questions, violations, and a treasurer desk should not buy PayHOA expecting those rooms to appear.
Fees — honest, not invented
We will not paste a blog’s “PayHOA is $X a month.” PayHOA’s public tiers change, and our listing does not freeze a current dollar amount.
PayHOA (from our listing): published flat monthly tiers by unit-count band. Payment processing is extra. A volunteer board can usually see the software price without a sales call. Verify current tiers on PayHOA’s site.
Stewardly (from our listing, researched September 21, 2026): published flat per-community tiers with no per-unit software fees.
- Starter — $49/mo, up to 50 units. Online dues and autopay (card and ACH), portal, tasks, meetings, and minutes, ARC, violations, documents, packages, and parking, AI assistant 50 actions/mo. The Starter card also lists bank sync and financial dashboards, vendor/AP, and collections automation.
- Growth — $129/mo, up to 250 units. Everything in Starter, plus Plaid bank sync and reconciliation, full financial dashboards and budgeting, vendor/AP with W-9 / 1099-NEC / COI, owner ledger / AR aging / late fees, delinquency escalation with AI-drafted notices, monthly board packet, insurance tracking, AI Treasurer month-end summaries, 2,000 AI actions/mo, branded PDF reports, priority support.
- Pro — $299/mo, unlimited units. Everything in Growth, plus a reserve study and 30-year funding planner, statutory notice center with deadline tracking, resale/estoppel certificates, unit value insights, Google Drive document import, unlimited AI actions, dedicated onboarding.
A Monthly / Annual toggle advertises “Save up to 20% yearly.” Exact annual dollar amounts are not printed as static figures next to the monthly prices, so toggle Annual (or ask the vendor) before you budget a yearly number. Every plan includes a 30-day free trial with no credit card. The vendor markets “$0 per-unit fees” and “no hidden charges” for the subscription. Card and ACH payment-processing costs still apply and are not quoted as fixed Stewardly pass-through rates on the pricing section. Verify current amounts and fee handling on Stewardly’s pricing section.
What that means in practice:
- Both are board-approvable fee shapes for typical volunteer door counts. Neither starts as a CAM-grade quote.
- PayHOA’s software bill scales with the unit-count band and is billed monthly. We do not have live PayHOA dollars here, so we will not call it cheaper or more expensive than Stewardly at 40 doors.
- Stewardly’s software fee does not meter per door. It steps by community tier: $49 through 50 units, $129 through 250, $299 with unlimited units on Pro. A 30-unit and a 200-unit association are not looking at the same Stewardly plan.
- Processing can dominate either bill. PayHOA’s processing is extra. Stewardly’s listing says processing still applies and is not a fixed published pass-through on the pricing section. Model ACH vs. card at your assessment volume. Do not copy industry examples from a blog into the board packet.
- “Save up to 20%” is not a dollar amount on file. We will not invent the annual price.
- Mail is a PayHOA strength we record (optional paper mail in the same dues workflow). Stewardly’s listing notes that any mail or usage costs sit outside the published subscription. Confirm how late notices actually go out before you assume print-and-mail is in the plan.
- Starter’s AI cap is 50 actions a month. Our listing flags that as tight if the board leans hard on automation. Growth’s cap is 2,000; Pro is unlimited. Price the tier you will actually use, not the homepage Starter card.
If a roundup quotes an exact PayHOA monthly software price, or a Stewardly annual dollar, without a date and a source we recorded, treat it as unknown.
The jobs, not the logos
| Job | Usually PayHOA | Usually Stewardly | Neither / look elsewhere |
|---|---|---|---|
| Collect dues, remind, show a balance | Yes — that is the product | Yes — online dues and autopay (card and ACH) are on Starter | If you need a CAM general ledger, leave this aisle |
| Owner documents / simple portal | Yes | Yes — portal, documents, packages, and parking | TownSq if the gap is engagement and chatter, not back office |
| ARC, violations, meetings, and minutes in one vendor | Not why boards buy it | Yes — listed on Starter | KindHOA for a free/flat monthly workspace; RunHOA or AffordableHOA for other published ops suites |
| Optional paper mail in the same dues workflow | Yes — a listed PayHOA strength | Confirm with the vendor; mail/usage is outside the subscription on our listing | Ask both how late notices actually go out |
| Treasurer-desk books (bank sync, AR/AP, budgets) | No — dues ledger | Mixed — Starter card lists bank sync, dashboards, vendor/AP, and collections automation; Growth and Pro emphasize Plaid reconciliation, full dashboards, owner ledger / AR aging, and W-9 / 1099-NEC / COI | Perfect HOA, ManageCasa, or the accounting shortlist if a CPA needs a CAM GL |
| AI on documents, minutes, packages, month-end | Not the product | Yes — marketed as included (citations, photo package logging, minutes, bookkeeping assist, AI Treasurer), with the action caps above | Treat drafts as board work to review. Our listing says trial-validate, not peer-proven |
| Reserve study and 30-year funding planner | No | Pro only, from our listing | Have a CPA or reserve specialist confirm scope in the trial. It is not a CAM general ledger |
These are qualitative fit notes from our listings, not lab scores. Confirm current modules with the vendor — especially which Starter “bank sync / vendor / collections” lines are the same tools Growth describes in full.
Accounting depth
This is the comparison most “vs” posts flatten.
- PayHOA: dues-only. Excellent at money in from owners. Weak as fund accounting. Fine when a CPA still does year-end, or the association is tiny and simple.
- Stewardly: mixed. Useful treasurer-desk depth for many volunteer associations: bank sync, dashboards, budgeting, owner ledger / AR aging, vendor AP, delinquency workflow. Growth and Pro are where our listing puts Plaid reconciliation, full financial dashboards, W-9 / 1099-NEC / COI, and AI Treasurer month-end summaries. Pro adds a reserve study and 30-year funding planner. That is not a claim of CPA-grade multi-entity fund accounting for a large professionally managed portfolio. Have your treasurer or CPA walk operating vs. reserve views, bank rec, AP/1099 flow, and year-end export on a trial file before you retire QuickBooks or a dues-only tool.
If your only problem is late assessments, do not “win” by buying an AI ops suite you will not operate. If your CPA is asking for restricted reserves and a bank rec, take those questions to Stewardly’s 30-day trial — and do not promote PayHOA into a general ledger by renaming the menu.
Features that are not the point
Both products collect dues and give owners a login. That overlap is why the search exists. It is not why you should pick one.
PayHOA’s overlap is the whole product: collect, remind, show a balance, keep files. Fast for a treasurer to stand up. Narrower on purpose. Optional paper mail is a real dues-workflow difference.
Stewardly’s overlap is the front door of an AI-native ops suite: the same nouns (owners, dues, documents) sit next to ARC, violations, meetings and minutes, packages, parking, and AI drafts. You are buying those rooms — and an action cap — or you are not. Feature depth also steps by tier. Pro’s reserve planner, estoppels, and unlimited AI actions are not on Starter.
Brand familiarity and review density are board-politics and diligence issues, not quality scores we invented. PayHOA is the longer-running volunteer dues name in our listings. Stewardly’s About page, as recorded on our listing, is direct: founder Miguel Torres describes himself as an HOA board volunteer, and the company calls itself early-stage while saying the product is live and used by real communities. That honesty is useful. It is also a caution. We will not turn a missing G2 profile into stars, and we will not treat a vendor’s PayHOA comparison page as independent evidence.
Switching myths
“Stewardly is PayHOA plus AI.” Only if you will use ARC, violations, minutes, and the treasurer desk. Unused AI actions are a cap, not value. PayHOA is not selling those rooms.
“Published $49 means it is always cheaper.” That figure is Stewardly’s Starter tier, up to 50 units, as recorded on our listing (September 21, 2026). PayHOA’s current dollar tiers are not on file here. Compare software + processing at the unit count you actually have. A community over 50 units is looking at $129 or $299, not $49. We will not guess the crossover.
“Unlimited units on Pro means it replaces a CAM platform.” Pro’s unlimited-unit claim does not make Stewardly Buildium. Audience we record is self-managed. Software does not supply staff. Accounting stays mixed / treasurer-desk.
“Save up to 20% yearly” is a price you can approve tonight. It is a toggle label. Our listing does not record static annual dollars. Confirm after you toggle Annual.
“Early-stage and thin reviews means skip the demo — or trust the feature list.” Neither. The listing’s point is to trial-validate. Import a real dues schedule, ask a governing-document question, and walk a bank rec with your treasurer or CPA inside the 30-day no-card trial. Do not treat the homepage as peer-proven board experience.
“The reserve planner on Pro is the year-end package.” It is a listed Pro module (reserve study and 30-year funding planner). It is not, on our listing, CAM-grade fund accounting. Confirm scope before you cancel the CPA or a reserve specialist.
How to decide in one meeting
- Write down the jobs you will actually use in the next 12 months: dues only, or dues plus ARC / violations / minutes / AI drafts / treasurer-desk books.
- Who closes the month — a volunteer or an employee? If an employee at a firm, you are in the wrong comparison.
- Can you live with the fee shape (PayHOA size-band monthly tiers vs. Stewardly’s $49 / $129 / $299 community tiers), including processing, at your door count? If you want annual billing, toggle it and write down the number the page shows. Do not budget “20% off” from memory.
- Open the two listings — PayHOA and Stewardly — and read pros and cons. Ask PayHOA to show a late assessment and paper mail. Ask Stewardly to show a violation, a document answer with citations, and — if you claim to need books — operating vs. reserve and a bank rec on a trial file. If you claim to need CAM-grade books, ask neither. Use the accounting shortlist.
If you are still choosing an aisle, use HOA software for small self-managed boards and PayHOA alternatives. If you want a free/flat monthly volunteer workspace, see PayHOA vs KindHOA and the direct pairing KindHOA vs Stewardly. If you want one published annual fee, see PayHOA vs RunHOA. If you want unit-band monthly ops with a straight-line reserve planner, see PayHOA vs AffordableHOA.
Verdict
Choose PayHOA if collections and a simple owner portal are the whole job and you want a widely recognized volunteer-board dues app with published size-band monthly software fees. Choose Stewardly if a self-managed board wants dues plus ARC, violations, AI help on documents and minutes, and treasurer-desk financials on published flat monthly tiers with no per-unit software fee — and you will validate an early-stage product in the 30-day trial before you vote.
