Alternatives

AppFolio alternatives for HOAs and management companies

Honest AppFolio alternatives for HOAs — CAM peers if you manage communities, volunteer tools if the 50-unit minimum priced you out. No invented ratings.

People search “AppFolio alternatives” for two opposite reasons. Some are volunteer boards who sat through a property-management demo and then met a 50-unit minimum. Some are management companies comparing peers — a rental-plus-association stack, HOA-native books, or a large-portfolio operating system. Those groups should not share a single ranked list.

AppFolio is a rental-property platform with a real HOA module: multiple-fund accounting, assessment payments, violations, architectural requests, and mobile field work. Audience we record: professional CAMs. Typical unit fit we record: 50–20,000. Accounting depth we record: fund accounting. The HOA page is written to association management companies, not to a board that meets once a month.

Pricing, re-checked on AppFolio’s own pages 19 October 2026. The association rate and the unit floor match our Buildium vs AppFolio write-up from 5 October 2026:

  • The pricing page publishes a schema.org offer named AppFolio Performance Platform for Community Associations at $0.85 per unit per month. That dollar rate is in the page’s structured data. On the HOA page, the visible Core card lists association features and does not print $0.85 beside them. Get a Quote is still on the page. Treat $0.85 as the published offer, and confirm it still applies to your portfolio.
  • The HOA page’s fine print says “Minimum spend and 50 unit minimum apply. Contact us for details.” The dollar amount of that minimum spend is not published. Per-unit math at 50 doors is not a quote.
  • Residential per-unit prices on the same pricing schema are a different product line. Do not use them as the association rate.
  • Payment processing (the HOA page mentions eCheck, debit, and card) is extra. We did not find a public HOA processing rate card.

We do not invent star ratings, review counts, or affiliate claims. Affiliate URLs stay on the same placeholder pattern as the rest of PickHOA until a program URL is live.

This page uses the same listings as the rest of PickHOA. Cards are alphabetical inside each aisle. We have not scored them.

Are you in the wrong aisle?

Stay with AppFolio (or a peer) if:

  • Someone is paid to close the books and run work orders across a portfolio.
  • You need multiple-fund accounting, not just owner balances.
  • You manage associations and often rentals in one shop, and you clear 50 units plus a minimum spend you have seen in writing.
  • Field staff actually use a mobile violation workflow.

Leave the AppFolio aisle if:

  • A rotating treasurer is the operator.
  • You need dues, ACH, reminders, and a portal — and a CPA already does year-end.
  • You are under 50 units, or you cannot get the minimum-spend dollar amount before a contract.
  • You want association software that is not a rental platform with an HOA module.

The same-aisle pairing is Buildium vs AppFolio. If the other name in the search is Buildium and you are a volunteer board, that is a different buyer — read PayHOA vs Buildium and Buildium alternatives.

Volunteer-board alternatives (if AppFolio is too much)

These are not “AppFolio but cheaper.” They are different products. They will not give you a CAM general ledger. Confirm current prices on each vendor’s site. Processing is extra.

PayHOA. The reference small self-managed product: published flat tiers by unit band, assessments, ACH, mail, portal. Accounting depth we record: dues-only. Typical fit we record: 1–250 units, with volunteer use closer to under ~100. Best when the painful job is collections and the AppFolio minimum is the whole objection. See PayHOA alternatives if that is the name you are actually comparing.

KindHOA. Free tier plus a published flat paid plan — not per-door software. Broader volunteer workspace (ARC, elections, violations, maintenance). Mixed books; not an enterprise GL. Choose it when the demo felt like staff software and you still need the rest of the board year in one login. See KindHOA alternatives.

Perfect HOA. Flat unit-band plans (typical fit we record: 1–325 units). Stronger invoicing and bank-connected bookkeeping than a pure collector. Still confirm operating vs. reserve before you fire QuickBooks.

ManageCasa. The listing for a self-managed community whose dues ledger is too thin and whose AppFolio demo was a firm operating system. Published base by band, then per-unit. Reserve-fund story many volunteer apps lack. Useful around 80–300 self-managed units. Maybe more product than a 20-unit annual-assessment neighborhood needs. Not a substitute for AppFolio at portfolio scale.

HOAware. Published per-unit plans positioned against high enterprise minimums. Ops-heavy (violations, ACC, portal). Accounting is not the headline. Compare it with a flat-tier tool at your door count. It answers “we were priced out of a minimum,” not “we need AppFolio’s general ledger.”

RunHOA. Published $399/year (from our listing) with unlimited units and users on the software fee; Stripe extra. Dues plus HOA-oriented books, e-voting, and ops in one product. Not a CAM general ledger. See PayHOA vs RunHOA.

AffordableHOA. Published unit-band monthly plans, un-gated features, mixed books, a straight-line reserve planner, and a document-grounded resident AI helper. Self-managed, not a professional portfolio OS. Specific dollars are on our listing — verify live. See PayHOA vs AffordableHOA.

TownSq. Engagement and ARC in an owner app. Freemium plus paid tiers. Do not treat it as an AppFolio accounting replacement. CAMs often run TownSq beside a GL. Self-managed boards should only start here if communication — not dues, funds, or the minimum — is the crisis.

Professional CAM alternatives (same buyer as AppFolio)

If you are a manager, you are not looking for PayHOA. You are looking at the professional CAM category and the accounting shortlist.

Buildium. The other rental-plus-association platform. Our listing records per-unit pricing with a notable monthly minimum and fund accounting, typical fit 50–10,000. The vendor pages written up on Buildium vs AppFolio (checked 5 October 2026) show starting-at monthly packages and still send community-association pricing to the phone. Choose Buildium when you want a public package floor before the call. Choose AppFolio when the published $0.85/unit association offer is the shape you want to negotiate and you can live with the unpublished minimum spend. Leaving Buildium instead? Buildium alternatives.

CINC Systems. HOA-native CAM software — assessments and association books, not a rental platform with an HOA tab. Quote-only. Typical fit we record starts at 200 units. Long CAM tenure. Diligence the portal and conversion. The right alternative when you do not manage apartments in the same system.

Vantaca. Automation-heavy OS for large association portfolios (we record a typical fit from 500 units up). Quote, implementation project, not a volunteer signup. Alternative when AppFolio’s rental suite is irrelevant and the job is portfolio staffing math.

Enumerate. TOPS-lineage, GL-first. True books are the point; our listing notes that reviewers often flag dated UX. Pair with a resident app if owners hate the portal. Not for self-managed boards. Typical fit we record starts at 200 units.

Condo Control. Amenities, visitors, packages, announcements — not a full GL. Quote, typically per-unit, professionally managed or amenity-heavy buildings (typical fit we record from 80 units). An alternative to AppFolio’s operations layer, not its ledger. You may still need books elsewhere.

FRONTSTEPS. Modular CAM ecosystem — Caliber fund accounting, resident apps, payments, and optional gated-community access. Quote-only; our listing records no public rate card (researched 17 September 2026). It serves management companies and larger or gated self-managed communities. Use it when you want association books without a rental platform and you will read a modular quote. It is not a published-tier Saturday signup, so read the listing with the professional names above.

We do not have enough first-party notes to shortlist every name that appears in ads (older TOPS shops, regional vendors, “AI HOA” wrappers). Absence is not a ranking. It means we will not invent a card.

When to stay with AppFolio

Keep it if the general ledger is working, staff already know the workflows, rentals and associations belong in one system, and the minimum spend is rational at your door count. Switching a management company’s books is a project — we have not timed yours.

Leave it if you are self-managed and the demo felt like hiring software meant for a firm. That reaction is data. Leave it for a peer if you want HOA-native software (CINC), a large-portfolio automation OS (Vantaca), a GL-first back office (Enumerate), or a published package floor before the association quote (Buildium).

How to shop without a fake “top alternative”

  1. Label the buyer (treasurer vs. CAM).
  2. Label the job (dues, books, engagement, amenities, rentals in the same system).
  3. Open two listings in the matching aisle.
  4. Ask for operating vs. reserve, a bank rec, and a price at your units, including the minimum spend and processing. If the minimum spend is still “contact us,” you do not have a price.
  5. Ignore star ratings. We do not publish them.

How we chose alternatives

  1. Same job as the buyer who is actually leaving (or avoiding) AppFolio — treasurer vs. CAM staff
  2. Fee shape you can explain to a board or a firm (published tier, per-unit offer, or quote), including any minimum
  3. Accounting depth said out loud — dues ledger, mixed books, or fund accounting
  4. Unit-count fit that respects a 50-unit floor and an unpublished minimum spend
  5. We have a listing with sources we are willing to stand behind — no scraped star ratings
