NeighbourOps

Per-door HOA operations portal with cited AI answers from your CC&Rs, built for boutique management companies and larger boards that keep QuickBooks or AppFolio for the books.

Boards and CAMs Per-unit fee 1+ units Dues/billing only — not fund accounting

NeighbourOps (neighbourops.com) is an HOA operations portal and resident app built by MagiQa, Inc., a software consultancy in Sylmar, California (the footer reads “NeighbourOps by MagiQa”, and MagiQa’s own site lists that address and founder-principal Avetik B.). It covers maintenance requests with photos, violations and architectural (ARC) requests, announcements with read tracking, a community calendar, a document library with role-based visibility, invoices and payment history, and a multi-community dashboard. On top of that sits its headline feature: an AI assistant that answers resident questions only from the CC&Rs, bylaws, and rules you upload, and cites the clause it relied on.

The pitch is deliberately narrow: “Keep QuickBooks. Replace the chaos.” NeighbourOps does not try to be your general ledger. It sits beside QuickBooks, AppFolio, Buildium, Yardi Breeze, or CINC and handles the communications, requests, and violations work that usually lives in email and spreadsheets.

Audience for schema is both. The homepage names boutique property management companies running 5 to 50 HOAs (500 to 3,000 doors) as the primary buyer, and separate self-managed HOA and HOA boards pages pitch volunteer boards. Schema unit range is 1 to 10,000: the Managed tier says “No minimum unit count” and Pro tops out at 10,000 doors. In practice the price floors make it a better fit for 150+ doors or for managers with several communities.

Pricing (researched October 20, 2026)

From the pricing page and the homepage pricing block:

  • Pilot: $0 for 60 days, up to 2 communities and 200 units, full Starter/Growth/Pro features, no credit card.
  • Starter: $0.85/unit/mo, $150/mo minimum, up to about 1,000 doors. Resident portal, unit directory and invites, announcements, documents, maintenance requests and staff queue, basic violation tracking, invoices and payment history, AI Q&A on up to 3 communities, 3,000 AI messages a month.
  • Growth: $1.20/unit/mo, $400/mo minimum, up to about 3,000 doors. Adds portfolio and board dashboards, cross-community analytics, SLA tracking and staff logs, vendor assignment, violation letter templates, staff AI reply copilot, AI on up to 20 communities, 20,000 AI messages a month.
  • Pro: $1.50/unit/mo, $1,000/mo minimum, 3,000 to 10,000 doors. Adds API and accounting integrations (QuickBooks, AppFolio, CINC), unlimited AI-indexed communities, 50,000 AI messages, AI-drafted violation notices, multi-language AI, SSO and white-label, a dedicated success manager, and an SLA.
  • Managed: from $800 per community per month, 1 to 10 communities, no minimum unit count. MagiQa sets up and runs the portal and AI and sends a monthly ops report. Growth features, no accounting integration.
  • Annual prepay: 10% off Starter, 15% off Growth, 20% off Pro (homepage).
  • Founding offer: first 10 customers get 20% off list for year one.
  • Add-ons: card payments 3.25% + $0.50, ACH $1.50 flat (both described as pass-through with “no hidden margin”); SMS 500 included, then $10 per extra 1,000; onboarding and migration $500 to $2,500 flat; AI overage $10 per 1,000 messages; extra staff seats billed per seat (price not published).
  • Terms in the FAQ: monthly plans cancel with 60 days notice; annual price increases capped at CPI + 5%.

What that means for a volunteer board (our arithmetic): a 100-door HOA on Starter pays the $150 floor, which works out to $1.50 a door. A 50-door HOA pays the same $150, about $3 a door. The Starter rate only applies in full above roughly 176 doors.

How money moves

Residents can see invoices and payment status and pay online by card or ACH at the fees above. The FAQ is explicit that NeighbourOps is not replacing your accounting: “keep QuickBooks, your GL, or your existing accounting tool”, and the vendor’s own comparison table marks “Full HOA accounting + GL” as Roadmap. Accounting depth for schema is therefore dues-only: invoicing, payment history, and online collection, with the ledger, budgets, reserves, and reporting living in your accounting software. Accounting integrations are only listed on Pro.

Conflicts and caveats to read before you buy

  1. Starter vs Growth for boards. The pricing page offers Starter at $0.85/door, but the self-managed and board pages say boards start “from $1.20/unit/mo (Growth tier)”. Ask which tier a single-community board is actually allowed on, since the $150 and $400 floors differ a lot.
  2. No legal pages. We found no Privacy Policy or Terms of Service. /privacy, /terms, /privacy-policy, and /terms-of-service all return 404 and the footer does not link any. Ask for a signed agreement and data-processing terms before uploading owner data.
  3. Demo uses shared public logins. The live demo publishes homeowner, board, and manager test accounts with one shared password and warns not to upload sensitive data. That’s normal for a demo, but don’t put real community documents there.
  4. Pilot traction is small and oddly worded. The homepage reports 3 pilot communities, 426 homes, and 5,000+ resident questions, labelled “Live, installed on-premise”, which doesn’t match a hosted web portal. The “up to 50% fewer resident emails” figure is a vendor claim from early pilots.
  5. Mobile app is not shipped yet. MagiQa’s case study says the resident and field-staff mobile app is “in active development”. Today it’s a mobile-first web portal.
  6. Door ceilings are approximate. Starter and Growth say “up to ~1,000” and “up to ~3,000” doors; the FAQ says above a tier’s ceiling you upgrade or contact them.

Independent proof

We found none. X search for NeighbourOps, neighbourops.com, and “Neighbour Ops” returned 0 posts on October 20, 2026. Web search surfaced only the vendor’s site, MagiQa’s case study, and a July 2026 MagiQa LinkedIn post; no r/HOA threads mention it. G2 and Capterra searches returned 403 to our checks, and no review profile was confirmed.

Honest assessment

NeighbourOps is one of the clearer “operations layer” products we’ve seen: published per-door prices, real minimums stated up front, a free 60-day pilot, a public demo, and AI answers that cite your own governing documents instead of the open web. It’s a reasonable trial for a small management company juggling several associations in AppFolio, Buildium, or CINC, or for a larger self-managed board whose treasurer already runs QuickBooks and just wants resident questions and maintenance requests out of board members’ inboxes.

The catches are real, though. It isn’t an accounting system, so boards that want books, budgets, and reserves in one place should look at PayHOA, Stewardly, or HOAfy. The $150 and $400 monthly floors make it pricey for small HOAs compared with flat-price tools like HoamConnect or SpruceHOA. And with no published privacy or terms pages and only three pilot communities, it’s very early. Treat the pilot as the evaluation and get the contract terms in writing before you commit. For resident-portal comparisons, TownSq and Condo Control are the closest established options already on PickHOA.

Best for

Boutique property management companies running roughly 5 to 50 associations, and larger self-managed boards (roughly 150+ doors), that want a resident portal, maintenance and violation tracking, and AI answers cited to their own CC&Rs while keeping QuickBooks, AppFolio, Buildium, or CINC as the general ledger.

Pricing notes

Official pricing page and homepage researched October 20, 2026 (America/Chicago). Published per-door list prices after a free pilot: Starter $0.85/unit/mo with a $150/mo minimum, up to about 1,000 doors, 3,000 AI messages/mo, AI Q&A on up to 3 communities; Growth $1.20/unit/mo with a $400/mo minimum, up to about 3,000 doors, 20,000 AI messages/mo, AI on up to 20 communities, portfolio and board dashboards; Pro $1.50/unit/mo with a $1,000/mo minimum, 3,000 to 10,000 doors, 50,000 AI messages/mo, API plus QuickBooks/AppFolio/CINC integrations, SSO and white-label (Pro button says Talk to us). Managed (run by the MagiQa team) from $800 per community per month for 1 to 10 communities, no minimum unit count, Growth features, no accounting integration. Annual prepay discounts on the homepage: 10% Starter, 15% Growth, 20% Pro. Pilot: 60 days, $0, up to 2 communities and 200 units, full features, no credit card. Founding offer: first 10 customers get 20% off list for year one. Add-ons: card payments 3.25% + $0.50 and ACH $1.50 flat (described as pass-through), SMS 500 included then $10 per extra 1,000, onboarding/migration $500 to $2,500 flat, AI message overage $10 per 1,000, extra staff seats priced per seat (amount not published). Monthly plans cancel with 60 days notice; annual increases capped at CPI + 5%. Our arithmetic, not vendor-published: the Starter minimum means communities under about 176 doors pay the $150 floor (a 100-door HOA works out to $1.50/door), and Growth's $400 floor covers up to about 333 doors.
