HavenHOA

Per-home HOA software with a real double-entry ledger: $0.55 per home per month ($39 minimum) for self-managed boards, with QuickBooks Online sync, bank reconciliation, 1099s, elections, and an AI assistant.

Boards and CAMs Per-unit fee 10–1,000 units Some bookkeeping; confirm fund separation

HavenHOA (gethavenhoa.com) is all-in-one HOA software for self-managed boards, with a cheaper per-unit plan for property managers. It is built around the books. The site says HavenHOA “is a product of Agentic Software Solutions,” and the Terms and Privacy policy (both effective October 10, 2026) say the company is based in Utah, with Utah law and Salt Lake County courts. The About page says the founder belongs to two HOAs in Georgia and that the team is “building deliberately, working hand-in-hand with our first communities.” No founders are named.

Note the domain: the product lives at gethavenhoa.com. The bare havenhoa.com domain is unrelated.

What it does

The accounting core is what sets it apart. Per the features page and the treasurer page:

  • Double-entry general ledger with an 11-account pre-built chart of accounts. Every payment, fine, expense, and transfer posts a journal entry automatically.
  • Bank feeds through Stripe Financial Connections, plus bank statement reconciliation.
  • Reports: income statement, balance sheet, and budget vs. actual, with line-item budget planning.
  • Owner ledgers: personal statements, payment allocation, assessment reversals that post to the GL, annual prepayment discounts, and a delinquency and collections workflow.
  • QuickBooks Online sync in one click, for boards that keep an outside accountant.
  • Tax: 1099-NEC/MISC generation, vendor W-9 and TIN tracking, and a tax center that drafts Form 1120-H (or Form 1120) from the ledger.

Around that are dues collection through Stripe Connect (card, ACH, Apple Pay, autopay, automated late fees), digital elections with proxies, anonymous voting, one vote per property, and live quorum tracking, violations and fines, ACC requests, maintenance tickets, a vendor directory with invoice approval and a vendor portal, amenity reservations, visitor QR passes and a vehicle log, document acknowledgments, and a free community website on a HavenHOA subdomain.

Annie is the built-in AI assistant. She takes meeting notes and files draft minutes, imports a roster from a spreadsheet or photo, answers balance questions from the ledger, triages tickets, and runs scheduled reports. The Annie page says she changes nothing without a board member’s confirmation and only sees what the person asking can see. The Privacy policy names Google Gemini as the AI provider, Supabase and Vercel for hosting and data, and Stripe and Intuit for payments and QuickBooks.

A property-manager mode gives one login across associations, per-community books, custom roles, and an activity trail. Audience for schema is both, but the product and marketing are aimed at volunteer boards. Schema unit range is 10 to 1,000, matching the pricing calculator (10 to 1,000+ homes). There is no published upper limit.

Pricing (researched October 22, 2026)

From the pricing page, confirmed in section 8 of the Terms:

  • Self-managed HOAs: $0.55 per home per month after a 30-day free trial (no credit card).
  • Property managers: $0.49 per unit per month.
  • $39 monthly minimum per HOA. The vendor’s example: 120 homes = $66/month. At $0.55 a home, the minimum covers communities up to about 70 homes.
  • All core features included, with no tiers, setup fees, per-user charges, or annual contracts. Cancel anytime; data stays available to export for 30 days.
  • Extras: Stripe’s cost to collect your monthly invoice, a custom domain ($15/month), SMS beyond the included allowance, and Annie after the trial (from $10/month).
  • Online dues processing: bank transfer 0.85% per payment ($2.00 minimum, $5.50 maximum); card 3.5% + $0.50. The board chooses whether the HOA absorbs the fee or passes it to the resident. Checks and cash have no processing fee.

Caveats to read before you buy

  1. Brand-new company. RDAP shows gethavenhoa.com was registered July 9, 2026. The Terms and Privacy policy took effect October 10, 2026. “Our first communities” means few, if any, boards have used it for a full fiscal year.
  2. Entity details. “Agentic Software Solutions” appears without an LLC or Inc. suffix, and there is no street address. Contact is by email only (support@, legal@, privacy@gethavenhoa.com) or a booked call. Ask for the legal entity name before you link the HOA’s bank account.
  3. Reserves. The ledger is real double-entry accounting, but the features page does not describe separate operating and reserve funds, interfund transfers, or reserve-study tracking. The vendor’s own blog post on reserve studies says accounting software does not replace a reserve study. We rate accounting depth mixed, not fund accounting.
  4. Card fees. Card payments cost 3.5% + $0.50 each, so check what that adds up to for typical dues before choosing card. Steer residents toward ACH, which is capped at $5.50.
  5. Strict Terms. Charges are non-refundable with no prorated refunds, disputes go to individual AAA arbitration in Salt Lake City, and the vendor may suspend service “for any reason or no reason.” Unused prepaid AI or SMS credit is forfeited on cancellation.
  6. Vendor comparison table. The pricing page groups PayHOA, TownSq, and HOA-Star together with “$1–$5 each” per-resident fees and “$500–$2,000” setup fees, without sources. Check competitors’ prices on their own pages, including our PayHOA and TownSq listings.

Honest assessment

For a treasurer who wants real books, HavenHOA is the most accounting-complete new self-managed tool we’ve seen this fall. It has a double-entry ledger, bank reconciliation, budget vs. actual, 1099s, and 1120-H drafting at a simple per-home price, plus a governance and operations stack that would cost more elsewhere. At 120 to 300 homes the $66 to $165 monthly cost compares well with flat tiers like EasyHOA, RunHOA, and HOA Start, and with per-door tools like NeighbourOps. Under about 70 homes you pay the $39 minimum, and simpler tools such as PayHOA may be enough.

The risk is maturity, not features. The company is months old, names no founders or address, and has no independent reviews yet. If reserves and fund separation are your main concern, compare Perfect HOA or ManageCasa before switching. Use the 30-day trial to run one month of real transactions, reconcile against your bank, test the QuickBooks sync with your accountant, and ask for a reference community before moving dues collection.

No independent reviews were found on Reddit, X, G2, or Capterra as of October 22, 2026. We have not rated it.

Best for

Self-managed HOA boards of roughly 70 to several hundred homes whose treasurer wants real books (double-entry ledger, bank reconciliation, budget vs. actual, 1099s) without paying for a management company, and who are comfortable with a very new vendor.
